PROCUREMENT & PROJECT COORDINATOR

Stone House is looking for a Procurement & Project Coordinator to join our WI team. The Procurement & Project Coordinator works closely with the Lead Designer, Bookkeeper, and Director of OperationsWe are looking for a confident person who has impeccable attention to detail and who is a natural leader. Job Responsibilities:

  • Procurement for Demi design, Full Service and Retail clients. Work with Retail Store manager on weekly orders. Schedule client deliveries with Movers & assist Warehouse Manager on deliveries if needed.
  • Responsible for all ordering; including wallpaper, custom drapery, custom shades, custom upholstery, casegoods, hardware, rugs, soft goods/textiles, accessories, lighting etc. and coordinating the design team and fabrication details for client specifications.
  • Keep orders flowing smoothly – create Purchase Orders, send POs to suppliers, track POs, arrange deposits and payments
  • Enter all order receipts in Dext & communicate any payment issues to bookkeeper
  • Send monthly shipping reports to the design team – address any issues that arise with vendors. Responsible for dealing with damages/returns.
  • Monitor shipments to ensure dates are accurate and communicate to client design staff. Work with vendors to minimize delivery delays.
  • Assist Warehouse Manager with scheduling deliveries
  • Responsible for creating all furnishing proposals & working with the Bookkeeper, Lead Designer to create & manage invoices.
  • Work with bookkeeper on reconciliations every month
  • Keeps the design team organized and on schedule for projects
  • Works closely with the Warehouse Manager and Design Team to ensure all items are received for installation.
  • Works in the best interests of the firm, providing excellent customer care and communication to clients, and working with the design team to problem-solve issues as they arise
  • Working with clients and vendors to provide excellent customer service
  • Assist Warehouse Manager with our receiving center as needed. Be available for deliveries, help to schedule deliveries.
  • Opening of new trade accounts and maintaining existing
  • Coordinate design projects – ranging from residential and commercial updates,to new construction.
  • Coordinate site visits, trades, schedule movers/install & deliveries.
  • Preparing, attending, documenting and following up on project meetings
  • Creating client budget & working with design team to ensure budget is achieved. Ensure all accuracy of information.
  • Working with trade partners and contractors to provide exceptional customer service.
  • Site visit check ins, reporting and recording all details, including photos
  • Participation in trade presentations
  • Creating bid spec sheets and working with design team to keep up to date
  • Responsible for scheduling trade as it relates to projects and installs
  • Work with the design team and warehouse manager to schedule install day.
  • Schedule photography, line up any trades needed, run any necessary errands to help prep for a smooth install day.

Job Requirements:

  • 3-5 years of experience in Interior Design or related field
  • Minimum associate’s degree required; Bachelor’s degree preferred
  • Strong Knowledge of Microsoft Office including Outlook, Word, PowerPoint, and mid-to high level skills in Excel. Previous knowledge in Square, Houzz Pro, Asana, CRM, and Clockify is preferred.
  • This individual must have a strong interest and desire to learn the field of interior design.
